Annual update and current update
There are two types of updates to the information in the records: annual and current. The annual update is due at a certain time each year. It is mandatory and is aimed to inform the registry of any changes that have occurred in your business during the past year. If there is no change, the annual update is mandatory, and is intended to declare that there is no change.
The current update is mandatory when you make certain changes in your company (change of head office, addition of a facility, new director, etc.) outside the annual update period. It must be produced within 30 days following the changes. These processes are important because they allow you to validate the information related to your company or to inform of corporate changes decided by the directors or the shareholders. Failure to do so can lead to fines and the deregistration of your company.

Note that you are legally required to keep such a book up to date, at your head office, whether your company is provincially or federally incorporated.

The registration
Whether your corporation or organization is federally or provincially incorporated, you are required to register it in at least one province in Canada. Normally, upon incorporation, a corporation or organization is registered in the province where its head office is located. Thereafter, you may also register in any other province where you carry on business, i.e. where you have a mailing address or an establishment.
