A resignation letter is not complicated, but a few badly worded lines can create a disagreement about your last day, your final pay or your employment insurance. Here are four ready-to-copy templates, what a letter must contain, and the mistakes that come up most often.

Which resignation letter template should you use?

A resignation letter runs a few lines. What changes from one case to the next is the notice you offer and how much you say about your reasons.

Simple resignation letter template with notice

This is the version for the large majority of situations.

Use this when you are leaving immediately. Keep it factual. A letter is not the place to settle a dispute.

Email carries a real advantage: it timestamps itself. If anyone later questions when you gave notice, the proof already exists.

Write "my last working day will be Friday the 12th" rather than "I am leaving in two weeks". The first leaves nothing to interpret. The second makes someone count, which is how disagreements start.

Mistakes that cost you later

Four reflexes come up constantly and cause trouble well after the departure.

  1. Settling scores in the letter. This document can resurface in a dispute, a reference check or an employment insurance file. Keep it short and neutral.
  2. Resigning verbally with nothing in writing. Without a record, the date of notice becomes one person's word against another's.
  3. Writing "effective immediately" out of habit. You remove your own notice when you may have intended to stay two more weeks.
  4. Keeping no copy. The copy matters on the day the final payment does not match what was agreed.

Is resignation notice required in Quebec?

Yes, but no statute sets the length. Article 2091 of the Civil Code of Quebec requires reasonable notice of termination, assessed against the nature of the employment, the circumstances and your length of service. The Act respecting labour standards imposes no notice at all on an employee who resigns.

The customary two weeks comes from practice, not from law. The 1, 2, 4 and 8 week scale people often quote is section 82 of the labour standards act, and it governs the employer ending the contract, not the employee leaving.

How should you deliver a resignation letter?

The order matters more than the format.

  1. Speak to your direct manager first, in person or by video. Learning about your exit from a group email is remembered for a long time.
  2. Hand over the letter right after that conversation, not before.
  3. Send the same text by email the same day, even if you delivered a paper version.
  4. Keep a copy on a personal address, not on the company server.

An employer cannot refuse a resignation. It is a unilateral act that takes effect without being accepted. Your employer can release you before the end of the notice you offered, and it then owes only the days actually worked.

An employer cannot hold back your wages or vacation pay to compensate itself for an exit it considers too fast. If it believes it suffered a loss, it has to raise that in court and prove it.

Before your last day

Notice also exists so you can recover what belongs to you and leave a clean file. Whatever is not done before access is cut is rarely recoverable afterwards.

Watch that last line. Taking client files, price lists or source code is not a grey area. Article 2088 of the Civil Code imposes loyalty and confidentiality for a reasonable time after the contract ends, and at all times for information concerning the reputation or privacy of others.

Can resigning affect your employment insurance?

Often, yes. Leaving voluntarily without just cause under federal law generally results in ineligibility for regular benefits.

Some situations can amount to just cause, including harassment, unsafe conditions, a significant change to working conditions, or an obligation to care for a family member. Service Canada decides case by case, and the wording of your letter can weigh in that analysis. A neutral letter serves you better than a vengeful one.

If you are the employer: what to do when a resignation arrives

Five reflexes, in order.

  1. Acknowledge receipt in writing and confirm the last working day.
  2. Decide whether the employee works the notice or leaves earlier.
  3. Prepare the final payment: wages, unused vacation and the percentage for the current year.
  4. Recover access, equipment and data before the departure.
  5. Restate in writing the duties that survive the contract, particularly the confidentiality set out in article 2088 of the Civil Code.

Frequently asked questions

Does a resignation letter have to be handwritten?

No. No law requires a handwritten form. A printed and signed letter, or an email sent from your own account, carries the same weight. Email even offers a practical advantage, since it timestamps itself and proves when you gave notice.

Should I write "two weeks notice"?

Write the exact date of your last working day instead. The phrase "two weeks" forces the reader to calculate, and two people can easily land on different dates depending on whether they count weekends. A precise date closes the discussion before it even starts.

What if my employer refuses my resignation?

An employer cannot refuse a resignation, which is a unilateral act. Confirm your departure in writing, keep proof of delivery and respect the notice you announced. If the final payment does not follow, you can file a complaint with the CNESST.

Can I resign during a probation period?

Yes. Probation comes from the employment contract, not from Quebec legislation, and it takes away no right to leave. You owe the same reasonable notice as outside that period, which is usually short because your length of service is short too. Check your contract for a specific clause.

Can I withdraw my resignation after handing it in?

Only if the employer agrees. Once clearly communicated, a resignation takes effect and the employer has no obligation to take you back. A resignation given in the heat of the moment can sometimes be challenged, but the burden of proof sits with you.

Do I owe notice if my contract says nothing about it?

Yes. With no clause, article 2091 of the Civil Code applies and it requires reasonable notice. You therefore owe notice even without having signed anything about it, but its length is assessed case by case against your role and service rather than set by a fixed number.
